This notice sets out information on how House of Immigration L Lawyers LLP (trading as House of Immigration) collect and process your personal data.
How we collect data
As data controllers, House of Immigration collect, process and store personal information that is provided to us. We collect data in a number of ways, primarily through the provision of legal services to you and where we have your consent, from sources such as medical institutions and the Home Office.
We may retain information in other circumstances — for example when you contact us, we may keep records of the correspondence, and information may be obtained from third parties such as clients or other law firms.
Our services are not aimed at children; where children are involved, we are instructed by parents or guardians representing the child.
Types of data held
The type of data that we hold falls into two broad categories:
- Personal data — for example name, date of birth, nationality, contact details
- Sensitive data — for example religion, political orientation, biometric data, medical information
Sources of information
We obtain information about you primarily directly from you in the process of providing services to you. Other sources include but are not limited to:
- Third parties so that we can undertake legal work upon your instruction, such as medical or financial institutions
- Family or friends who provide the information with your consent
Use of personal information
We collect, process and retain information about you for the following purposes:
- to deal with your enquiries and requests
- to provide you with any other information that you request from us
- to comply with our legal and professional responsibilities
- where we have other legitimate reasons, such as for internal compliance and security purposes
- to contact you in the course of providing services to our clients
Your personal information is primarily used within House of Immigration; however there may be other instances where your personal data needs to be disclosed to a third party. Examples include (this is not an exhaustive list): solicitors acting on the other side; other legal professionals such as counsel; translation companies; non-legal experts; regulatory bodies such as the SRA; and external auditors and accountants.
How we protect your data
We have taken reasonable steps to ensure that your data is protected from unauthorised access, modification, disclosure or destruction, accidental loss and improper use.
Some of the steps include ensuring an organised system is in place to document where information is at all times, securing IT systems, and ensuring there are logins and passwords for all electronically held data. All third-party providers with access to confidential information are bound by confidentiality obligations.
Transmission of information via the internet is not completely secure and any transmission made over the internet and via email is at your own risk.
Storage of personal information
Personal information is stored both electronically and on physical files. It is kept for as long as it is required by law or for fulfilment of its purpose. For example, wills will be kept indefinitely, although standard files are usually kept for a minimum of 6 years before being destroyed without further notice or liability.
All data and personal information is stored in the United Kingdom. No personal data is stored outside the EEA. We currently do not store any information for marketing purposes.
